Your mentor, your site, your capstone hours in Washington
In Washington, an Excelsior nursing student builds the practice experience from scratch. You nominate a master's prepared mentor, find an agency willing to host the work, and shape a project your faculty will approve. Here is how each piece comes together in this state.
Start with the mentor, then the site, then the project
Order matters. Excelsior faculty approve the mentor you nominate, they do not assign one, so the search starts with you, and in Washington it usually starts with someone already in reach: a nurse educator at the college where you finished your RN, a clinical informatics lead where you work, a director of nursing who has watched you take on projects nobody assigned. One vocabulary note before you email anyone. Excelsior's word is mentor and the work is a practice experience, though plenty of students call it a preceptor because that is the word every other nursing program uses. The Washington State Board of Nursing and the license behind your project
Registered nurses here are licensed by the Washington State Board of Nursing, which sits inside the state Department of Health. An RN license renews each year on your birthday with no grace period, so a lapsed license is inactive until you fix it. Renewal opens in the board's HELMS portal roughly 85 to 90 days ahead, and a nurse who misses the date can still renew late for up to a year before reactivation becomes the route back.
Two tools matter when an agency decides whether to let you in. The Department of Health's Provider Credential Search is the primary source check for Washington licensure status. Nursys, run by the National Council of State Boards of Nursing, is where anyone confirms whether a license is single state or multistate, because the state search does not show that.
Washington is a Nurse Licensure Compact state. It joined on July 24, 2023, when nurses holding a multistate license from another compact state could begin practicing here, and Washington nurses could apply for their own multistate licenses starting January 31, 2024. A multistate license comes from your primary state of residence, so moving here means updating that within 60 days. Agencies check all of it because you arrive as a licensed RN, even though the capstone work is indirect care. Who can be your mentor in Washington, and where those nurses work
Three things have to line up: your mentor holds a master's degree or higher, their expertise matches your specialization, and Excelsior faculty approve your nominee. They are a volunteer, so the ask has to be easy to say yes to. A defined project, a fixed hour count, and a student who has already handled the paperwork.
Education mentors cluster around the schools: the University of Washington School of Nursing in Seattle, the Washington State University College of Nursing in Spokane, Gonzaga, Seattle University, Pacific Lutheran in Tacoma, plus nursing programs at Bellevue College, Olympic College in Bremerton, Clark College in Vancouver, and Columbia Basin College in Pasco. Informatics mentors sit where the data does: informatics and analytics teams at UW Medicine and Harborview, Providence Swedish, Seattle Children's, MultiCare in Tacoma, PeaceHealth in Bellingham and Vancouver, Kadlec in Richland, Confluence Health in Wenatchee, and Providence Sacred Heart in Spokane. Outside the hospitals, the Washington State Health Care Authority in Olympia, the Department of Health in Tumwater, and Community Health Plan of Washington carry nurses with informatics titles. Leadership mentors are the nurse managers, directors, and quality leads at those same systems, plus public health leadership at Public Health Seattle and King County, the Tacoma-Pierce County Health Department, Spokane Regional Health District, Clark County Public Health, and the Yakima Health District. Community health centers such as Sea Mar, Neighborcare Health, and the Yakima Valley Farm Workers Clinic in Toppenish run small leadership teams that are often more open to a student project than a large system is. The site, the affiliation agreement, and CastleBranch
A willing mentor is not a willing site. The organization's legal entity has to agree to host you, usually through a template agreement between Excelsior and the agency, and large Seattle or Spokane systems route that through legal or an academic partnerships office, which can take weeks by itself. Clinics, county health districts, school districts, and long-term care organizations often move faster. Start the day your mentor says yes.
Compliance runs through CastleBranch: background check, immunization records, TB screening, and a drug screen when the site asks, plus whatever conditions the site adds on its own. The hours: 135 for the MSN capstone, about 90 for RN-to-BS
Each Excelsior MSN capstone carries 135 practice-experience hours, the same number whichever of the three tracks you are in, built around an independent project you carry out in a real setting under your mentor's supervision rather than shifts on a unit. The RN-to-BS route is lighter, roughly 90 hours across two 45-hour courses that many students complete in their own workplace and community. Said plainly: Excelsior states that no clinical instruction is provided in its School of Nursing programs, so the mentor, the site, and the project are yours to arrange while faculty approve what you propose. The exception is worth naming. Excelsior does arrange placements for its prelicensure Hybrid BSN in St. Petersburg, Florida, and for its associate program. For MSN and RN-to-BS students the search is yours, and that gap is why this service exists.
Remote, hybrid, and the distance problem in Washington
Washington behaves like two states when you are hunting for a mentor. Along the Puget Sound corridor, from Everett through Seattle and Bellevue down to Tacoma and Olympia, graduate-prepared nurses are everywhere. In Okanogan County, on the Olympic Peninsula, in the Columbia Basin, or out on the San Juan Islands, the nearest informatics or education mentor may be a ferry ride or a mountain pass away.
Indirect-care work travels better than bedside work. Curriculum development, workflow and policy analysis, dashboard and documentation projects, quality improvement, and staff education can often be done partly by video and shared documents when the site and your faculty both agree in advance. Do not assume it and do not log hours on the assumption, because whether remote hours count is a program decision. Get it in writing. Do I need a Washington RN license to complete my practice experience here?
You need a license that lets you practice in Washington, which for most students means a Washington license or a multistate license from another compact state, since Washington joined the Nurse Licensure Compact in 2023. Agencies verify it through the Department of Health's Provider Credential Search or through Nursys before your start date.
Can my own manager or a coworker be my mentor?
Often yes, as long as they hold a master's degree or higher, their expertise matches your specialization, and Excelsior faculty approve the nomination. Faculty approve, they do not assign, so the nomination comes from you. Staying inside your own organization also tends to make the affiliation agreement simpler.
How early should I start looking in Washington?
Three to four months before the term begins. Mentor conversations take a few weeks, an affiliation agreement at a large Seattle or Spokane system can take longer than that by itself, and CastleBranch items such as immunization records and TB screening have their own lead times.
Does Excelsior find the mentor for me?
No. Excelsior states that no clinical instruction is provided in its School of Nursing programs, so for MSN and RN-to-BS students the mentor, the site, and the project are yours to line up, with faculty approving what you bring them. Students in the prelicensure Hybrid BSN in Florida and the associate program do have placements arranged, but that is a different track from yours.
